Quoting & Repair Workflow for Asset Defects

When an asset fails inspection, Fieldmagic makes it easy to quote the repair, convert it into a job, and get the work done fast. Here’s how to go from defect → quote → job → invoice — all in one streamlined workflow:

🧾 1. Create a Quote for Defects

Start from the inspection job where a defect was recorded. Select the failed asset and generate a quote — Fieldmagic will pre-fill the correct customer and site and group defects by asset automatically for clarity.

✏️ 2. Set Quote Details

Fill in your pricing details. You can set a default markup (e.g., 50%) and select default repair products — perfect for fast, repeat quoting while maintaining margin.

👀 3. Save & Preview the Quote

Once all items are added, save the quote and preview it to ensure everything looks correct. You're now ready to send it off to the client.

📬 4. Capture Customer Response

When the customer replies via email with approval, their response is automatically captured and saved against the quote — no manual follow-up required.

🔧 5. Create a Repair Job

Open the approved quote and set the details for the repair job. You don’t need an order number at this stage — just ensure the job info and parts are correct.

🔁 6. Convert Quote to Job

Click to convert the quote into a billable job. This ensures the job stays linked to the quote, giving you a seamless audit trail from defect to fix.

🗓️ 7. Schedule the Repair

Review the job details — all quote line items will appear in the work order. Then assign it to your technician and lock in a time for the repair.

💸 8. Create the Invoice

Once the repair is complete, generate the invoice. All line items from the job automatically carry over, saving you from duplicate entry.

📤 9. Finalize & Send the Invoice

Send the invoice in real-time to your accounting system. Your job is now fully closed out — and your cash flow stays strong 💰
