Scheduling, Capturing Defects and Reporting
🔧 How to Schedule & Complete an Asset Inspection
Stay on top of compliance with streamlined inspection scheduling and tracking in Fieldmagic. Here’s how it works:
✅ 1. Set Up Asset Types & Checklists
Define your fire extinguisher asset type and link it to a compliant inspection checklist. Be sure to pre-load any known defects so they’re ready for fast allocation during inspections.
🔁 2. Create a Recurring Job
Set up a recurring job for routine servicing. Choose the job frequency, customer, site, and relevant asset types—all from a single screen.
📆 3. Generate Upcoming Jobs
Filter by jobs due in the next 30 days and generate them in bulk to save time. You can also preview each job before confirming.
📅 4. Schedule Today’s Inspection
Pick the job you want to run today and schedule it with a single click—perfect for ad-hoc or overdue inspections.
📲 5. Open the Mobile App
Field staff can access all scheduled jobs on the mobile app—even when offline. Jobs sync automatically once connected again.
🔍 6. Conduct the Inspection
Scan asset QR codes to load the checklist, mark pass/fail, and add notes. Fieldmagic makes it fast and paperless.
🚨 7. Allocate Defects
If something fails, allocate defects on the spot. Use voice-to-text for quick comments and ensure everything’s documented clearly.
📝 8. Review & Save Results
Double-check the inspection outcomes, confirm defect logging, and save to update the asset’s compliance status.
📦 9. Update the Job Status
Wrap up by changing the job status to Awaiting Invoicing—this keeps your workflow tidy and traceable.
🧾 10. Generate an Inspection Report
Choose between a full checklist or summary report. Send it straight to your client along with the invoice.
